PTO Board Responsibilities

President  

  • Represents OTMS PTO in the community and at school events
  • Presides over the board meetings
  • Sets agendas
  • Coordinates early schedule pickup event and Back to School Night
  • Help the treasurer with deposits as needed
  • Work with counselors to host new student breakfast (3 days)
  • Work with counselors to organize "Say Something" Week activities (if held)
  • Purchase medals for Reading Fair winners 
  • Purchases small gifts for special occasions like national principals’ week, assistant principal’s week, and administrative assistant day

 Executive Vice President

  • Represents OTMS PTO in the community and at school events
  • Assists President and carry out the President’s duties in their absence or inability to serve
  • Organize Chromebook Distribution
  • Plan Student of the Quarter lunches
  • Purchase Teacher of the Quarter gifts
  • Organize the 10-year Club luncheon and gifts
  • Parent, Teacher, and Student of the Year gifts
  • Organize End of the Year Fun Day

 VP of Academic Affairs 

  • Organize the Teacher Appreciation events and week
  • Co-Chair 8th Grade Picnic along with the grade level rep
  • Organize Special Events: Veteran’s Day reception, convocation breakfast, See You at the Pole snacks
  • Prepare test day snacks for proctors
  • Works with VP Outreach to provide lunch for Academic Learning Center (Alternative Lunch)
  • Volunteers at events (as needed/available)

Secretary 

  • Records and distributes minutes
    • Email minutes to board members within 5 days of meeting pending no extenuating circumstances
  • Keeps notebook of minutes, agendas, and budget reports
  • Maintain signed Conflict of Interest forms
  • Volunteers at events (as needed/available)

Treasurer

  • Creates budget with President
  • Manages AP and AR
  • Provides tills for fundraising
  • Counts money from fundraising events and makes deposits
  • Maintains PTO Finance Manager
  • Provides monthly budget report at PTO board meetings
  • Reconciles all financial accounts monthly
  • Volunteers at events (as needed/available)

VP of Public Affairs 

  • Writes articles and supplies photos quarterly for Ridgeland Life Magazine
  • Attend events to photograph as needed
  • Sends photos to local newspapers
  • Posts to PTO Facebook page and coordinate information with school and district web managers
  • Take pictures for Reading Fair winners (see librarian Mrs. McGraw for details)
  • Update scholarship, TOTY and POTY plaques with winners’ names each year
  • Volunteers at events (as needed/available)

Membership Chair

  • Communicates to parents via PTO Manager as needed
  • Maintains Membership database
  • Volunteers at events (as needed/available

VP of Fundraising 

 

PBIS/Restaurant Nights

  • Coordinate the Bi-monthly behavior party (PBIS), purchase snacks, setup, sales and cleanup
  • Chairs fundraisers, including Bops shake sales, pancake breakfasts, etc.
  • Volunteers at events (as needed/available)

Spirit Sales

  • Spirit sales at select sporting events, RHS games
  • Oversees the school spirit sales (t-shirts and other items as needed)
  • Volunteers at events (as needed/available)

Sixth-Grade Rep

  • Chairs grade-level homecoming float build
  • Chairs Winter Fun Day
  • Chairs Spring Fun Day
  • Volunteers at events (as needed/available)
  • Coordinate/Chair other sixth grade events as needed

Seventh-Grade Rep

  • Chairs grade-level homecoming float build
  • Co-Chairs Winter Dance with eighth-grade rep
  • Co-Chairs Spring Dance with eight grade rep 
  • Volunteers at events (as needed/available)
  • Coordinate/Chair other seventh grade events as needed

Eighth-Grade Rep

  • Chairs grade-level homecoming float build
  • Co-Chairs Winter Dance with seventh-grade rep
  • Co- Chairs Spring Dance with seventh-grade rep
  • Volunteers at events (as needed/available)
  • Coordinate/Chair other eight grade events as needed 

VP of Outreach

  • Plans and oversees the International Festival
  • Delivers lunch to the Academic Options Center (Alternative Lunch)
  • Works with local businesses, churches, and civic organizations to assist through volunteering, donations and sponsorships
  • Volunteers at events (as needed/available)

Scholarship Committee 

  • Coordinates and publicizes OTMS scholarship for RHS seniors
  • Keeps notebook of winning essays
  • Volunteers at events (as needed/available)

Past President/OTMS Administration

  • Attends meetings
  • Serves in an advisory role to current executive board
